[Access Management] App-Level Permissions

App-Level Permissions adds a governance layer for Premium and Advanced customers who need to manage user access at the App level rather than only at the account level.

This feature serves organizations with multiple teams or departments, each with its own web presence.

What's New

Two-tier access control:

By default, SearchStax manages access at the account level. With App-Level Permissions enabled, Owners and Admins can control which users have access to specific Apps.

How it works:

  • Owners and Admins grant users access to specific Apps
  • User Roles still apply (permissions are limited by role)
  • All users automatically get access to new Apps (must be manually removed if needed)
  • The Account Owner has permanent access to all Apps

Two ways to manage access:

1. Users by App: View and modify all users for a specific App from the App Access tab

Changed

Changes to existing functionality.

[Search Profiles] Profile-Level Configuration

Sorting and Location settings are now available at the Search Profile level. Previously, these settings applied globally across all profiles.

These updates give you more control over how search works for different sites or audiences within a single Search App. They're only available if your Search App has more than one Search Profile.

Configuring Settings for Multiple Profiles

When you have multiple Search Profiles, you can choose which profiles should use specific configurations.

1. From the Dashboard, go to one of the following:

  • Location: Under Configurations \> Advanced Configurations
  • Sorting: Under Configurations \> Advanced Configurations

2. Make your configuration changes.

3. Click SAVE DRAFT or PUBLISH to open the profile selection window.

4. In the window, use the Select Profile(s) dropdown to choose which Search Profiles should receive your changes. You can select the current profile only, multiple specific profiles, or all profiles.

The window displays the current Search Profile selected by default. You can't unselect the current profile.

When you save or publish, your configuration applies only to the selected profiles. Other profiles keep their existing settings.

Impact

This gives you more flexibility in how you manage search experiences across different sites or audiences. For example, you can:

  • Configure location-based search to prioritize results near different campus locations
  • Set different default sorting for academic content vs. administrative content
  • Customize sort options for different departments or business units

All of this can happen within a single Search App.

Action

You can now configure Sorting and Location independently for each profile. Go to Configurations \> Advanced Configurations (Location, Sorting) to get started.
